High School Student Hosting Agreement

Thank you for your willingness to host an international high school student in your home. The hosting agreement below, once submitted, forms a commitment between First Choice International Placement Inc. (FCI) and a named person representing an assigned host family. The agreement outlines the host’s anticipated responsibilities when hosting an FCI high school student.

Host’s Full Name

Duration

Actual Start and End Date

  1. The actual start date of this Agreement shall be the agreed to date that the student moves into the homestay residence. The actual end date of this Agreement shall be the date the student permanently leaves the homestay residence.

Termination and Notice

  1. Within the first thirty (30) days of the actual start date of this Agreement, either the Host or FCI has the right to terminate this Agreement without notice.
  2. After thirty (30) days of the actual start date of this Agreement, two (2) weeks notice is required by either party.
  3. Two weeks is calculated from the day notice is received by both parties.
  4. In cases where the Host has received payment for nights beyond the notice period, the Host must make immediate arrangements to repay the balance of unused nights to FCI. An invoice will be sent by FCI to the Host who will subsequently arrange and confirm immediate payment.

Compensation

  1. The Compensation Rate for accommodating the student for each full month is based on the agreed to amount as stated in the placement confirmation email sent from FCI.
  2. For full month accommodation, payment shall be made in two equal installments on or near the 1st and 16th of each month.
  3. For partial month accommodation, compensation is based on the pro-rated nightly amount multiplied by the number of actual nights the student spent within the homestay residence.
  4. The host agrees not to charge the student any additional fees unless alternative arrangements have been pre-approved by FCI.

Meals and Snacks

  1. The Host agrees to provide three (3) meals (breakfast, lunch and dinner) and a minimum of two (2) nutritious snacks per day for the student.
  2. The Host may encourage the student to assist in preparing meals but use of kitchen appliances is solely at the discretion of the Host. If allowed, an orientation is required and the student’s safety is paramount.
  3. The Host may request that the student prepares his/her own breakfast and lunch meals using food provided by the Host.
  4. The Host agrees to have a minimum of four (4) meals per week where the student is able to dine with the Host and/or other members of the Host’s family, unless alternate arrangements have been pre-approved by FCI.

Lodging

  1. The Host agrees to provide the student with a private, furnished bedroom and access to a lockable bathroom. The bedroom must be equipped with a bed, a study desk, and a dresser and/or closet.
  2. The bathroom can be shared but the number of users sharing one bathroom must be reasonable. All of the users of the shared bathroom must be the same gender, unless alternate arrangements have been pre-approved by FCI.
  3. The student shall have access to common living areas in the home.
  4. The Host agrees to provide at least one (1) set of bed linens and towels for use by the student.
  5. The Host agrees to provide reasonable wireless internet access at no charge. Excessive streaming or heavy download charges incurred by the Host must be immediately brought to FCI’s attention for the purpose of negotiating an equitable and fair solution for all parties.
  6. The Host agrees to provide a key and/or electronic code to the student for access to the house. The Host will limit the charge for replacing a lost key to $30 and $75 for a lost fob, unless alternate arrangements have been pre-approved by FCI.

Covid-19 Considerations

As of November 17, 2022, BC’s Centre for Disease Control is recommending that people with symptoms who test positive for COVID-19 should stay home until their fever has resolved and they feel well enough to participate in daily activities.

If, therefore, a person in your household has symptoms of COVID-19, it is strongly recommended that they:

  1. Stay home and away from others until their fever is gone (without the use of medicines that reduce fever, like Tylenol) and they feel well enough to participate in daily activities.
  2. Avoid close contact with others, especially people at higher risk of severe illness or complications from COVID-19.
  3. If they cannot avoid close contact with others, take other prevention measures such as wearing a mask in indoor spaces and cleaning their hands regularly.

Limitations


Non-English Language Use

  1. The Host affirms that English will be the primary language spoken within the home while the student is present.
  2. Given Canada’ s multicultural population, all parties understand that other languages may be spoken in the home for the preservation of one’s native language and/or limitations of English capacity of others in the home or visitors. When other languages must be spoken in the home, the Host agrees to include the student in the conversations by providing interpretation as appropriate.
  3. Changes regarding the regular use of non-English languages within the home must be reported immediately to FCI.

Number of Students in the Home

  1. The Host agrees to accommodate no more than three (3) students at any given time within the home, unless alternate arrangements have been pre-approved by FCI.
  2. The Host agrees to notify FCI regarding any non-FCI students residing in the home and any changes to the number of students residing in the home.

Liabilities


Damages

  1. The Host assumes all risks associated with hosting a non-family member in their home. While FCI is not responsible for covering any loss or damage, we are available to assist the Host in trying to recover losses on the Host’s behalf.
  2. The Host agrees to provide FCI with evidence of the loss or damages and three (3) quotations for repairs or replacement of lost or damaged items.

Insurance

  1. The Host affirms that personal liability insurance of not less than $2,000,000 is consistently maintained on the home.
  2. The Host affirms that motor vehicle insurance that includes personal and third-party liability coverage is consistently maintained on all vehicles operated by the Host or by members of the Host’s family residing in the home.

Indemnification

  1. The Host agrees to indemnify, defend and hold harmless FCI and its officers, employees, agents, successors and assigns against and from all claims, actions, suits, liabilities, costs and expenses arising out of or connected to hosting an assigned FCI student under this Agreement.

  1. That I/we have read and understood all of the terms in this Agreement;
  2. That I/we agree to and will abide by all of the terms in this Agreement;
  3. That I/we are the owner(s), leaseholder(s), or renter(s) of the residence located at the address referenced in this Agreement; and
  4. That this Agreement is a binding contract between the Host and FCI.
